Thrive Pet Healthcare Specialists is seeking a compassionate and detail-oriented Veterinary Referral Coordinator to join our specialty team. In this highly visible role, you’ll be a key point of contact for clients, referring veterinarians, and internal medical teams-helping ensure seamless communication, exceptional service, and continuity of care.

What This Role Is All About
The Veterinary Referral Coordinator plays a critical role in delivering outstanding client service. This position creates a professional, welcoming experience for clients from their first call through follow-up care, ensuring that communication between clients, staff, and referring veterinarians is timely, accurate, and compassionate.

What You’ll Do
As a Veterinary Referral Coordinator, you’ll support hospital operations and client experience by:
- Answering incoming calls, prioritizing routine vs. emergency cases, and routing appropriately
- Scheduling specialty consultations, procedures, recheck appointments, and follow-ups
- Coordinating communication between clients, specialty veterinarians, technicians, and leadership
- Confirming appointments in advance to ensure attendance
- Taking accurate messages and relaying detailed information to medical teams
- Providing procedure estimates and answering basic questions related to services and fees
- Communicating with clients regarding invoices, medication refills, and patient status as needed
- Gathering and maintaining accurate client and patient information
- Identifying and appropriately addressing client concerns or issues
- Providing referral information for primary care veterinarians and emergency facilities
- Following hospital and OSHA policies, protocols, and communication guidelines
What We’re Looking For
Experience & Skills
- 2+ years of experience in the veterinary field (referral or specialty setting preferred)
- Strong understanding of veterinary services, terminology, and medical workflows
- Excellent interpersonal and written communication skills
- Ability to multitask effectively in a fast-paced environment with frequent interruptions
- Calm, empathetic, and professional demeanor-even in emotional or stressful situations
- Strong attention to detail and organizational skills
- Knowledge of standard medical and business abbreviations
- Commitment to professionalism and compassionate client service
